COMPETITIONS

The ability to negotiate can change perception about conflict and how you deal with it. Strong negotiation skills can help people in all industries resolve conflicts in their workplace, in their home, and in their personal life. Thus, in seeking to continuously contribute to and improve the education of students, Willminds Academy is launching its First Inaugural Negotiation Competition in 2025.

Willminds Negotiation Competition is a simulation of a negotiation process between two parties. It pits teams of various fields and from different universities against one another to find the most effective negotiators. Each team will represent a client or a party to negotiate a dispute. These simulations will be observed and evaluated by judges allowing participants to obtain advanced skills in the field of negotiation. 

The competition provides an opportunity to work as a team and to learn to overcome potential challenges that may arise in a dispute. It reinforces the practical dimension of the academic knowledge that students receive in their university studies.

Participants

  • Open to full-time and part-time undergraduate and graduate students from Lebanon or those who have completed their studies no longer than eight months before the competition date. Students from MENA Region can also apply.
  • Participants must be studying or have studied in fields such as Business Administration, Law, Political Science, International Affairs, Engineering, Economy or any other related field.

Teams

  • Each team must consist of maximum four members: three students and one coach (optional).
  • Each team must select a unique name. If a chosen name has already been registered by another team, the team may be required to change their name upon confirmation of registration.
  • If all team members and the coach belong to the same university, the university’s name will be mentioned along side the team’s name.
  • There is no requirement for a team to be from one university only.
  • There is no limit to the number of teams from one university. The competition is on a first come first serve basis.

Coach

Each team can have one coach, who should be either a graduate level student (Master of PHD), a professional, or a professor at a recognized university. 

Application Process

  • All interested students must submit their application before 23 May 2025.
  • Required documents include:
    · A completed application form.
    · Proof of enrollment or recent graduation.
    · Motivation Statement explaining the team’s interest in the competition.
  • The registration fee per team is $250.

Selection Process

  • The selection committee will carefully review the submitted applications within five working days to match with the eligibility criteria.
  • Eligible candidates will be informed to finalize their registration by paying the registration fees.
  • The team place is confirmed once payment has been received. Willminds does not offer any sponsorships but teams are encouraged to get their own sponsorship if they wish so.

Competition Process

Teams will be divided into groups. The competition will be held in-person and will span across three days consisting of multiple rounds:

  • Preliminary Round 1 (12 June 2025): In the first preliminary round, competition will be between teams of each group.
  • Preliminary Round 2 / Quarter Final Round (13 June 2025): The top two scored teams in each group move into other preliminary rounds or the quarter-final, depending on the number of participating teams.
  • Semi-Final Round (14 June 2025): The four highest scored winner teams will proceed to the knockout phase in the semi-final.
  • Final Round (14 June 2025): The final round will be between the two winners of the last round.

Format

  • Each round will simulate real-world negotiation scenarios.
  • Teams will act as parties in a negotiation, representing distinct interests and seeking mutually beneficial outcomes.
  • Scenarios will involve cross-border or domestic disputes, business deals, or policy agreements. They will be provided to teams within 24h before each round except for the final scenario that will be provided to the two winning teams right after the semi-final round.

Duration

Each negotiation session will last 60 minutes:

  • 10 minutes for preparation.
  • 40 minutes for the negotiation.
  • 10 minutes for feedback and scoring by judges.

Observers

  • Observers are permitted only during the semi-final and final rounds. They may include friends, family members, or university faculty/administration.
  • Observer registration must be completed 24 hours before the semi-final and final rounds.

Scoring Criteria

Panel will consist of two judges per team with expertise in negotiation, mediation, law, or business. Judges will assess teams based on:

  • Preparation (20%): Understanding of the problem, strategic planning, and goal-setting.
  • Communication (20%): Clarity, active listening, and persuasive abilities.
  • Collaboration (20%): Teamwork, respect for the opposing team, and the ability to find common ground.
  • Outcome (20%): Creativity and feasibility of the negotiated agreement.
  • Ethics (20%): Adherence to ethical standards and professionalism.

Feedback

Judges will provide constructive feedback to teams after each session.

    Confidential Information

    Teams will be divided into groups. The competition will be held in-person and will span across three days consisting of multiple rounds:

    • Each team will receive confidential information detailing their role’s objectives and constraints.
    • Teams must not disclose their confidential information to the opposing team or use unauthorized communication channels.

    Confidentiality during the Competition

    Participants must agree to keep all aspects of the competition confidential until the final results are announced.

    Conduct

    • Participants must demonstrate professionalism, respect, and adherence to ethical negotiation practices and to the competition rules.
    • Any form of coercion, manipulation, orpersonal attacks is strictly prohibited.

    Language

    The official language of the competition is English.

    Materials and Tools

    Teams may bring printed or digital materials but must not use internet-based tools during the negotiation session.

    Complaints Process

    Any complaints or disputes regarding the competition must be submitted in writing, by email, to the organizing committee within 24 hours of the incident. The committee will conduct an initial review to assess their validity and seriousness. Valid complaints will be investigated impartially, with all involved parties given the opportunity to provide their perspectives and evidence. Following the investigation, a resolution will be determined, and the complainant will be informed of the outcome and any actions taken. If the complainant is dissatisfied with the resolution, they may appeal the decision. The appeal will be reviewed by an independent panel or higher authority not involved in the initial investigation. The decision of the appeals panel will be final. Confidentiality is maintained throughout the process, and participants are protected from retaliation. Records of all complaints will be documented for accountability, and feedback will be used for continuous improvement.

    Disqualification

    Teams may be disqualified for:

    • Breaching competition rules, failing to meet eligibility requirements, and submitting false information.
    • Violating Confidentiality rules.
    • Engaging in unethical or unprofessional conduct.
    • Failing to adhere to time limits or other procedural guidelines.

    Role of Coaches

    • Coaches are responsible for mentoring and guiding the team in their preparation. They may provide insights and constructive critiques but must avoid influencing team decisions during the competition.
    • Coaches are strictly prohibited from intervening during live negotiation rounds.
    • Coaches are encouraged to attend team rehearsals, offer feedback, and assist in strategy-building during the preparation phase.

    Duties of Coaches

    • Any external assistance or intervention by the coach during live rounds will lead to the team's disqualification.
    • Coaches must uphold the competition's integrity, fairness, and professional standards at all times.

    Confidentiality with Multiple Teams

    • Coaches mentoring more than one team with different scenarios must maintain strict confidentiality.
    • They are prohibited from sharing confidential scenario information between teams.
    • Any university violating this rule may face disqualification of all associated teams from the competition.

    Application to Become a Judge

    Interested individuals must apply before 1 June 2025, submitting the following:

    • A complete application form,
    • A detailed CV outlining relevant professional experience.
    • A passport photo.

    Selection Criteria

    Judges will be selected based on the following criteria:

    • Professional Experience: Minimum of 5 years innegotiation, mediation, arbitration, or related fields.
    • Educational Background: Advanced degrees or certifications in law, conflict resolution, or related disciplines are preferred.
    • Impartiality: Ability to remain unbiased and objective throughout the competition.
    • Commitment to Ethics: Proven adherence to ethical standards and professionalism in prior roles.
    • Communication Skills: Strong analytical and communication skills to provide constructive feedback to participants.

    Roles and Duties of Judges

    Judges areexpected to:

    • Evaluate participants fairly based on the pre-defined scoring criteria.
    • Provide constructive feedback to participants after each round.
    • Participate actively in assigned rounds of the competition (preliminary, semi-final, or final rounds).
    • Attend any briefing sessions to understand the competition rules and scoring system.
    • Collaborate with other judges to ensure consistency and fairness in scoring.

    Availability and Commitment

    Judges must be available for the entirety of the competition, including:

    • Pre-competition briefing sessions.
    • Rounds of the competition as assigned.
    • The final award ceremony.

    Any absence or late attendance must be communicated in advance and justified.

    Conflict of Interest

    Judges must disclose any potential conflicts of interest during the application process. This includes relationships with participants, coaches, or sponsors. Judges with conflicts will not be assigned to rounds where these conflicts could influence their judgment.

    Training and Briefing

    All selected judges will be required to attend a mandatory briefing session before the competition. This session will:

    • Familiarize them with the rules and scoring criteria.
    • Provide guidelines for providing feedback to participants.
    • Address any questions or concerns about the judging process.

    Feedback and Continuous Improvement

    Judges are encouraged to provide feedback on the competition process to improve future events. Their observations on participant performance, competition structure, and scoring criteria will be invaluable for continuous improvement.

    Termination of Role

    Judges who fail to adhere to the rules or demonstrate unprofessional behavior may be disqualified from their role. This includes:

    • Breaching confidentiality.
    • Demonstrating bias or unethical conduct.
    • Missing competition rounds without valid justification.

    Honorarium and Recognition

    Judges will receive:

    • A certificate of appreciation for their contribution.
    • Public acknowledgment during the award ceremony.

    Selected participants have the option to attend the rehearsal schedule provided by third parties. These rehearsals will allow them to fine-tune their performance and gain further knowledge about negotiation skills useful for the competition. There hearsal schedule will be communicated to the teams at a later stage and subject to an additional nominal fee for those attending.

    Prizes

    • All participating students will be awarded certificates of participation.
    • Coaches will receive a Certificate of Recognition for their contribution to their team’s development and performance in the competition.
    • Trophies and other awards for winning teams and individuals will be announced closer to competition date.

    Final Announcement

    The results of the competition will be announced during an official ceremony following the final round.
